The Contractor shall provide comprehensive maintenance, technical support, preventive maintenance, remote diagnostics, software maintenance, warranty coordination, and related support services for the existing Cisco, Poly, and associated Audio-Visual (AV) and Video Teleconferencing (VTC) infrastructure deployed throughout Brookhaven National Laboratory (BNL). A detailed inventory of covered equipment and systems will be provided as an attachment to the resulting agreement. The Contractor shall furnish all labor, supervision, tools, expertise, and resources necessary to maintain the operational readiness, reliability, and performance of the designated VTC systems. Support services shall include, but are not limited to, the following equipment and components: Conference room VTC and collaboration systems Cameras, microphones, speakers, displays, and related peripherals Video conferencing codecs and control systems Network connectivity components dedicated to or supporting VTC operations Software, firmware, licensing, and operating systems associated with supported VTC platforms Integrated AV/VTC components and accessories necessary for system functionality The Contractor shall provide proactive and reactive support services, including troubleshooting, repair coordination, system diagnostics, software and firmware updates, configuration assistance, performance optimization, and manufacturer warranty support as applicable. Services shall be performed in a manner that minimizes disruption to BNL operations and ensures continued availability of critical conferencing and collaboration capabilities.
