Statement of Work (SOW) Vibroacoustic Therapy Chair Recreation Therapy Bay Pines VA Healthcare System 1. Purpose The purpose of this Statement of Work (SOW) is to procure one (1) vibroacoustic therapy chair to support Recreation and Music Therapy services at the Bay Pines VA Healthcare System. The equipment will be used with both residential and outpatient Veterans for pain management, anxiety reduction, trauma recovery support, and mindfulness training. 2. Background Recreation and Music Therapy clinicians at Bay Pines VA currently utilize vibroacoustic equipment that is over 15 years old and shows significant signs of wear (fabric deterioration, declining speaker function, sanitation challenges). The original manufacturer (Somatron) is no longer in business, making direct replacement impossible. Vibroacoustic therapy supports Veterans managing chronic pain, PTSD symptoms, anxiety, and sleep dysregulation. The new chair (Performalift or equivalent with SoVi vibroacoustic system) provides improved adjustability, enhanced accessibility, and a more durable clinical design suitable for high volume therapeutic environments. 3. Scope of Work The contractor shall provide all labor, materials, equipment, shipping, and warranties necessary to deliver a fully functional vibroacoustic therapy chair. Work includes: Manufacturing and delivery of the chair Assembly, configuration, and basic functional testing Removal of packing material Warranty documentation and operator orientation 4. Equipment Description & Technical Requirements 4.1 Vibroacoustic Therapy System The chair must: Integrate vibration transducers embedded in the chair (back, seat, legs) to deliver low frequency sound based vibration therapy. Produce frequencies typically between 30 120 Hz, supporting relaxation, muscle release, circulation improvement, and autonomic nervous system regulation. Support playback of therapeutic tones, music, or clinician selected audio. 4.2 Therapeutic Mechanism (How It Works) Built in speakers/transducers convert sound into vibration. Low frequency vibration travels through the user s body, stimulating muscles, nerves, and internal structures. The combination of sound + vibration facilitates physical and mental relaxation, reduces sympathetic activation, and creates a meditative sensory experience. 4.3 Clinical Benefits The equipment must support outcomes including: Reduction of stress and anxiety Pain relief and muscle relaxation Improved sleep quality Enhanced mindfulness and emotional grounding Support for Veterans with PTSD, sensory processing challenges, or chronic pain 4.4 Accessibility & Ergonomics Must recline to a position that reduces joint pressure. Adjustable degree of recline to accommodate individual Veteran mobility and pain needs. Safe and stable support for users with mobility limitations. 4.5 Product Features (Based on Requested Model) Adjustable height and backrest Durable medical grade upholstery (easy clean, tear resistant) Integrated SoVi or equivalent vibroacoustic system Optional armrests 120V standard operation Meets all VA safety and fire compliance requirements (including CAL 117) 5. Place of Performance Bay Pines VA Healthcare System 10000 Bay Pines Blvd Bay Pines, FL 33744 Building 111, Room 2A125 (Music Therapy Treatment Space) 6. Period of Performance Delivery and setup must occur within 30 45 days ARO, unless otherwise approved. 7. Deliverables Vibroacoustic therapy chair with integrated vibration and sound delivery system All related accessories (e.g., armrests, controls, cables) Basic operating instructions for clinical staff Manufacturer warranty documentation Confirmation of successful equipment test and acceptance 8. Contractor Responsibilities Ensure on time delivery Notify VA Recreation/Music Therapy staff prior to delivery Conduct functional test of equipment on arrival Provide basic in service training Provide warranty service information and points of contact 9. VA Responsibilities Ensure access to delivery location Provide electrical outlet and adequate space Perform inspection and acceptance of equipment 10. Acceptance Criteria Equipment will be accepted upon: Delivery of all ordered components Verification of full functionality (vibration, audio, controls, recline) No visible damage or defects Delivery of all required documentation Successful initial operational check with staff present 11. Warranty Requirements Minimum 1 year manufacturer warranty covering parts and labor Clear guidance for technical support and repair requests Replacement of defective components as required 12. Security & Safety Requirements Equipment does not store or process Veteran data Must meet all electrical and fire safety requirements for clinical spaces Must be appropriate for use with Veterans with mobility challenges
